It accepts that measuring order will vary from property to property and valuer to valuer. It catches dimension errors while the user is still standing in front of the building, not hours later at a desk. Why Area Calculation Shouldn’t Be a Separate Step

For many property professionals, area calculation has historically been the part of the process where errors creep in. A hand-drawn sketch gets measured with a ruler, rooms are classified manually, someone decides which spaces count toward which standard, and the numbers get typed into a report. Every step is an opportunity for something to go wrong.

The room naming convention does much of the heavy lifting. Naming a space “Bedroom 1” or “Common Corridor” or “Plant Room” triggers the calculation rules configured for that room type — including it in or excluding it from each area type automatically. For a multi-tenanted commercial building, shared facilities might be excluded from NIA. For a single-tenanted building, the same spaces might be included. The profile handles this without the valuer needing to remember the rules for each job.

Calculation Mode allows overrides where needed. If a space that would normally be excluded needs to be counted — perhaps a void that the client plans to convert — the valuer can make a property-specific change without affecting the global profile settings.

The output includes an audit trail documenting exactly how areas were calculated. For valuers who need to defend their numbers to checking authorities, audit panels, or clients, this is significant. It transforms area calculation from a judgement call into a documented, repeatable process.


Data Collection That Works the Way Inspections Do

Every property inspection captures more than just dimensions. There are construction details, condition observations, compliance notes, photographs, and asset information — all of which need to end up in a report or database somewhere.

The typical approach has been to carry a separate data collection tool, or to take notes on paper and transcribe them later, or to rely on the report writing system to prompt for the required information. Each of these creates a gap between the spatial data (the sketch and measurements) and the observational data (everything else about the property).

Forms can be attached to specific elements of the sketch — a form for the kitchen, a different form for the machinery shed, a condition form for each external wall. When the valuer names a room, the relevant form opens automatically. The form can extract data directly from the 3D model — room names, areas, wall heights, locations — without the valuer needing to re-enter information the sketch already contains.

The form builder uses a drag-and-drop interface. Organisations can create their own forms for any use case, or work with our team to develop them. Forms can include conditional logic so that only relevant fields appear based on previous answers. New forms can be deployed to an entire workforce through the Scribe portal in minutes, without device-level updates.

For firms that have integrated Scribe with their job management system, the data flows automatically. The sketch is created by the job management system, Scribe opens with the correct profile and forms already loaded, and when the inspection is complete, all collected data — spatial, dimensional, observational — is extracted and placed into the reporting system. The valuer never needs to export a file or copy data manually.

The ability to work offline is non-negotiable for many Australian valuers. Rural properties, basement-level commercial spaces, multi-storey buildings in urban canyons — all of these routinely have no mobile connectivity. The software needs to function fully without an internet connection, syncing automatically when connectivity returns. Web-based tools that require a constant connection won’t work in these situations.

Per-user licensing versus per-device licensing has real operational implications. If a valuer uses an iPad on site and a desktop at the office, do they need two licenses? If they upgrade their tablet, does that trigger an additional cost? Licensing that follows the individual rather than the device is simpler to administer and allows valuers to work on whatever device suits the moment.

Integration depth matters more than integration breadth. Many tools claim to integrate with other software, but the integration may be limited to file export or manual data transfer. True integration means the inspection software can be launched from within the job management system, configured with the correct profile automatically, and the collected data extracted back into the reporting system without manual steps. For the valuer, the inspection software should feel like part of the host application, not a separate tool that needs to be managed alongside it.
